What Is Systematic Thematic Analysis? A Complete Six-Step Guide for PhD Students
If you are doing a PhD or writing a qualitative paper, you have probably faced this moment: you have coded your interviews, you have a set of themes, and then your supervisor or a reviewer asks, “But what is your theoretical contribution?” Thematic analysis, as most researchers learn it, stops at themes. Systematic Thematic Analysis was developed to close that gap — it treats the conceptual model as the destination of the analysis, not an afterthought.
Why “systematic”?
The process is termed systematic because it follows a structured, sequential approach in which each stage builds on the previous one. Crucially, themes are not simply “common patterns in the data.” In STA, themes are developed with the research gaps, objectives, questions and theoretical underpinnings in view throughout. This organised method enhances the consistency and replicability of findings, creates clear connections between data, interpretation and conclusions, and limits potential bias.
The six steps, in practice
Step 1: Transcription, familiarisation and selection of quotations
Immerse yourself in the data — but be selective. As Ochs famously put it, “a more useful transcript is a more selective one.” Your goal is to foreground quotations that resonate with the research objectives, represent diverse participants’ voices, and bring the data to life. Prioritise power quotes: the most compelling pieces of data you have, the ones that effectively illustrate your points. Always give the reader enough context to comprehend the essence of each quote.
Step 2: Selection of keywords
This is STA’s novel step. Within your chosen quotations, identify the powerful, meaningful and pertinent words that carry participants’ experiences — the words participants themselves use to construct their reality. Keywords pave the way for code development and amplify the depth and quality of your interpretation. In the panic-buying study used as the paper’s exemplar, a participant’s statement “buying groceries means welcoming infection in our family” yielded the keyword “welcoming infection.”
Step 3: Coding
Assign short phrases — codes — that capture the core message and significance of data segments. Coding converts raw textual data into manageable, theoretically meaningful units. “Welcoming infection,” together with keywords such as “tension, not under control,” became the code “provoke perception.”
Step 4: Theme development
Organise your codes into meaningful groups. Themes go beyond recurring elements: they embody patterned meanings that link your research questions and your data. The codes “provoke perception” and “cost” merged into the theme “perceived consequences.”
Step 5: Conceptualisation
Now interpret keywords, codes and themes together to define the concepts emerging from your study. Assess each concept for clarity, accuracy, reliability, applicability and its contribution to theory and practice. Use diagrams to understand the relationships among concepts.
Step 6: Development of the conceptual model
Synthesise everything into a named model — presented through arrows and boxes — that answers your research questions and states your contribution to knowledge. In the exemplar, the analysis culminated in the “Panic buying as social practice” model, grounded in Protection Motivation Theory and the Theory of Rumor Transmission. As the paper warns: “Theorizing is also work: often researchers make the mistake of submitting their study for publication without making the effort to do the conceptual work necessary for the development of theory.”
Which methodologies can use STA?
STA was designed to be adaptable. The paper shows its application within constructivist and positivist methodologies, grounded theory, ethnographic and narrative approaches, and interpretive phenomenology. Your philosophical position shapes how you select quotations — a constructivist foregrounds participants’ subjective meaning-making; a critical realist prefers quotations echoing the social construction of objective reality — but the six-step architecture holds.
